Grant Request Process

Over the years, the Snee-Reinhardt Charitable Foundation Application Process has been, and continues to be, refined.  We strongly suggest that you read the entire For Grant Seekers section thoroughly.  We ask that you pay special attention to the new requirements and limitations that have been added and other procedures that have been changed. 

PLEASE NOTE:  A FINAL REPORT detailing the outcome and grant expenditures, including receipts, photographs, and other necessary documentation, must be submitted at the conclusion of the grant.   If your organization has received funding in the past but has not submitted a final report, the current application will not move forward until the previous grant has been closed out.

Grant Application Submission Deadline

All grant applications must be received in a timely manner on or by the 1st of April and August.

IF THE 1ST FALLS ON A SATURDAY OR SUNDAY, ALL PROPOSALS MUST BE SUBMITTED BY THE PRECEDING FRIDAY.  If a proposal is not received within the above specified time frame, it will be transferred to the next funding cycle.  No exceptions.

SENDING A PROPOSAL VIA REGULAR MAIL:

DO NOT send a proposal with a “Signature Required” for receipt through the US Postal Service, UPS, FedEx or any other courier service.  If no one is available to sign, this will delay receipt of the proposal for up to a week.  In rare instances, proposals have been returned to the sender due to lack of "Signature Required".

We have noticed a lag time in delivery of propsals from the time sent to the time received.  Therefore, we strongly suggest submitting your propsoal at least three weeks prior to the April 1st or August 1st deadline.  This ensures that your proposal is received in our office well before the deadline date.

SENDING A PROPOSAL VIA EMAIL:

If you are concerned with the office receiving your proposal in a timely manner, please e-mail a copy to our office.  DO NOT send a secondary copy through regular mail as this can lead to confusion.

When sending your proposal via email, please create one document that contains the following in this order:

  1. Proposals are to be submitted on 8.5” x 11” paper and be unbound.
  2. Your cover letter should state the amount requested and a brief overview of the request, not to exceed one (1) page
  3. The Snee-Reinhardt Charitable Foundation Grant Application (minus this page). 
  4. A complete, to-the-point description of the project detailing the purpose and objectives. 
  5. To-the-point procedures for project implementation.
  6. An itemized budget including estimates.
  7. Supportive materials (e.g. brochures) should not exceed more than five (5) pages.
  8. Photographs and/or drawings of the current areas/items being replaced/constructed including items to be purchased (e.g. dishwashers, dryers, computers).
  9. A list of donors being pursued.  If no other donors are being pursued, please note along with a reason for not seeking funds from other sources.
  10. A list of the organization's current Board of Directors.
  11. A list of corporate or foundation donors within the last year.
  12. A copy of the organization's tax-exemption declaration.
  13. A professionally prepared or official financial statement.  In certain instances, a professionally prepared financial statement is not available due to the organization’s association within a community (e.g. fire stations).  If your organization does not have access to professional prepared financial statements, please call the office to obtain what financial documentation is needed.

If you are unable to create one document, we ask that all files be well named.

Funding Cycle Dates

What is a funding cycle?  A funding cycle is when the Snee-Reinhardt Charitable Foundation Board of Directors meet to award those grant applications that have withstood the Preliminary Grant Review process.


Why are the funding cycle dates are important?  Any non-profit organizations that has been approved for a funding cycle can add this date to their calendar.  Within two weeks after a funding cycle meeting is held, each non-profit organization receives an official letter stating if their grant application was awarded or declined.

Below is the general day and months have been designated for our funding cycles. 

  • Second Tuesday in May.
  • Second Tuesday in September.
